Crescent Training Google Drive Second Session 9-26-13


FILES AND FOLDERS

To create a new folder:

>Click the red “Create” button

OR

>Click the icon at the top that is a folder with a + sign

>When the dialog box opens, just name your folder and click save.

Think of this function like you used to create folders on “My Computer”





To move files to folders:
>Place a checkmark in the box next to the file you want to move
>Click the folder icon at the top of the page (the one without the + sign)
>When the dialog box opens, choose the folder you want to send the file to
>Click the “move” button




To create a subfolder:
>Open the folder that you want to put a subfolder into
>Click the folder with a + sign icon at the top of the page
>Name your new subfolder
>Click “Create”



To color code folders:
>Click on “My Drive”, in the far left navigation column,so that you will be viewing all of your folders in your Drive
>Hover over a folder that you would like to color code
>Click the pull-down menu
>Scroll down and click “Change color”
>Choose your color


DOCUMENTS

Naming files:

From “My Drive”, to name OR rename a file: 

>Right click on the file
>Choose “Rename”
>Name the document
>Click OK

With the document open, to name OR rename:

>Look in the top left corner of the document
>You will see either “Untitled Document” or “A name you had previously given it”
>Click on that current title
>Rename the document and click “OK”

 
SHARING DOCUMENTS
>From “My Drive”, put a checkmark in the box next to the file or folder that you want to “share”
>Click the icon at the top that has a person with a + sign
>Begin to type in names if they work for GSCS or an email address of anyone outside of GSCS
>Add a note if desired
>Choose if you want the collaborators to be able to “view”, “comment”, or “edit”
>Click “Share and save”
>Click “Done”






If you are sharing a document, do not want collaborators to edit your document, but you do need their feedback, you can “share” it with them and they can leave you comments. You can reply to their comments and vice versa. You can also, set the document to notify you when someone adds a comment. Here’s how:


>With the document open, click “comments” button in the top right corner
>Click “Notifications”
>Click “All” or “Replies to you”
>Share the document (See above)


When your collaborators receive your shared document (or if you receive a shared document), all they have to do to comment is:
>Open the shared document
>Click “Comments”
>Click “Comment”
>Highlight the text that you are going to comment about
>Type in your message in the box
>Click “Comment”
Now, the “Owner” of the document will be notified that you have commented on their document.
RESEARCH WITHIN GOOGLE DOCUMENTS
>With the document open, click “Tools”
>Click “Research”
>A new window will open
>Type in the word or phrase you want information about
>Next the the Google “G”, there is a pull down menu
>Choose how you want to search (everything, images, scholars, dictionary)
>You never have to leave your document to find what you want on Google!

Crescent Training Google Drive 9-20-13

GOOGLE DRIVE
Drive works best with Google’s Chrome browser.
30GB of storage for:
Images
Music
Videos
Documents
Spreadsheets
Presentations
You can also upload files that are not in Google format or convert your already created files to a Google formatted doc so that others can edit and collaborate.


Only files uploaded that are NOT in Google format count toward your storage.


Supports 15 file formats


You can download the Google Drive mobile app to your devices and edit there too.


Eliminates:
Jump drives
emailing large files
carrying devices to and from work/home


Overview
Link to Drive from Chrome homepage or from your Gmail
You can sync from Internet to MORE than one desktop
This won’t work at school with a teacher log in BUT you can put it on your computer at home and whatever you do at school and save to Drive, will be on your other computers too. Just turn them on, connect to the Internet, and Drive on your computer will sync.  
 
If you save to Google Drive on your machine, it automatically syncs with Google Drive online...and vice versa.


Download Drive for Mac or PC
>Choose the link on the left side of the page (“Connect Drive to Your Desktop”)
>Click “Download Drive for PC or Mac”
>Open the downloaded file and install it to your machine


MOVE FILES TO FOLDERS
>Click the box of by the file
>Click the folder icon at the top
>Choose the folder you want to move the file to


UPLOADING FILES TO DRIVE FROM YOUR COMPUTER
>Click the Gear icon in the top right
>Choose “Settings”
>Choose “Upload Settings”
>Choose “Confirm settings before each upload”
>Click the red upload button
>Decide if you want to upload individual files or a folder (Folder option ONLY works with Chrome as your browser)
>Choose what you want to upload from your computer
>When “Upload Settings” window appears, choose the option you want
>Click the “Start Upload” button
You will see the status of the upload. Then you will see it appear in Drive. Open Drive on your desktop and you will see the file there too! If you delete a file from your Google Drive on your computer, you will see that it disappears from Drive online too!


SHARING FILES IN GOOGLE DRIVE
>Check the box by the file or folder you want to share
>3 options for sharing
>Click the +person icon at the top
OR
>Right click on the file and click share
OR
>Share from the upload file window when upload completes
>After you choose how to share, the “Share Settings” window will open and you can decide here what rights your collaborators will have.
>Choose to send a message when you share
>Choose to send yourself a copy
>Click “Share and Save”
If someone shares a file or folder with you, it will be in the “shared with me” link in Drive. These “shared with me” files are not automatically synced with your Drive on multiple computers. If they delete a file from their drive, then you will no longer have access to it either.

To keep files that have been “shared with you” it even if the other person deletes it:
>Go to Drive
>Click on the “Shared with Me” button
>Put a check in the box next to the file or folder you want to keep
>Choose “Add to my Drive” OR “Folder” icon at the top, depending on where you want it.
Now even if the person who shared it with you deletes it, you will still have it.
COLLABORATION
People can work on the same document at the same time in Google Drive.
Even if you are not working simultaneously, all of the changes will show up in all of the collaborator’s Drive space.
What if you need to go back to the original document?
>With the doc open, click “All changes saved in Drive”
>Then you can choose whose revision you want to use or the time and date of the revision.

Google Calendar Help Resources

WHERE TO GO FOR MORE HELP WITH GOOGLE CALENDAR

Google Calendar Training 9-13-13

***You can download mobile versions of Google Calendar to your mobile devices.
>On your device, go to “Apps Store”
> Type Google Calendar in the search box and choose the one you prefer. Calenmob is free and syncs easily

SYNERGYSE
Synergyse is an interactive, built-in training add-on, available within the Google application you are working in so that you never leave the application to learn how to use it. THIS FEATURE ONLY WORKS IN CHROME.
>Make sure you have Chrome downloaded as your browser
>Go to www.synergyse.com
>Click on “Install Synergyse”
>Click “add”
Synergyse will then be ready to use. Anytime you need a refresher, you can click the “Training” button at the top of the Google. The “Training” button is available for Gmail, Calendar, Drive, and Sites.

CREATING EVENTS IN CALENDAR
>Quick Add -Click the arrow next to create
>Just type in whatever the event is and save
OR
>You can click on the day that you want to create an event, type in the name and click create event button.
>Click “create” button to create a detailed event (time, place, etc..)
>On the right, you can type in the names of people you want to invite by putting in their email addresses.
>Click Save
>A window will come up asking you if you want to send the invite to the people you have put in the list.
>Click yes and they will get the invitation


RECEIVING AN INVITATION
>Invitations come to your inbox and the first word in the subject line will say “invitation”
>You can click the RSVP button and choose options there 
OR
>Open the email, choose yes, no, maybe. The sender will receive your answer via email.


When you receive an invitation, open the email and you will see all of the details of the event (time, place, who will be there, etc…).

When you click “yes” to accept the invitation, Google will automatically add the event to your calendar.


NOTIFICATIONS AND REMINDERS
You can set up notifications or reminders for your events. A small pop-up will come to your desktop to remind you of the event. Also, if you have downloaded the mobile calendar app, you will also be reminded on the phone too.


>Hover over your calendar
>Click the pull down menu
>Choose Reminders and Notifications
>This page will show you all of the options for reminders (pop-up or email, how often, choose what you want to be reminded of)
>>>These reminders are only for YOUR account


MANAGING INVITATIONS
Once you have accepted an invitation or created an event on your calendar, you can click on that event in the calendar to see the details of the event (where, who created it, time, etc…).


If you have accepted an invitation, you see it on your calendar, but you need to send the person who sent it to you a message. Maybe you are going to be late or you are not going to be able to attend....

>Click on the event
>In the window, you will see who was invited and which calender it came from
>Hover over the person’s name and you will see that person’s email address
>Click on the email address or their name, and your email will open so that you can send them a message


DISTRICT CALENDAR
>Hover over “other calendars”
>Click the pull down menu
>Choose “browse interesting calendars”
>Click “more”
>Click “resources for gscs.org
>Click the “subscribe” button next to GSCS System Calendar
>Click “back to Calendar”
>On the left side, you will now see the GSCS Calendar in your list
>If you click on it, you can add it to the view of your calendar. If it is too much to look at, you can click it again and it will not show in your page of calendar


SHARE YOUR CALENDAR
>Hover over your calendar
>Click the pull down menu
>Choose “share my calendar”
> Type in the name of the person you want to share it with
>Decide on permission to give that person
>You will see their name in the list
>If you want to “un-share” your calendar with that person, just click the trash can
>Click the “save”


TO DO LIST/TASKS
>Click the “tasks” button on the left
>Your To Do list will appear on the right
>Click the + sign at the bottom
>Type in the task
>Hit enter to continue to add tasks
>If you have done the items, put a checkmark in the box and it will show a strike through
>If you want to tidy up the list, put a checkmark, then click the trash can at the bottom


RECEIVE DAILY AGENDA

Receive your daily schedule of events

If you've opted to receive Daily Agenda notifications, they'll be sent out via email around 5 AM, local time.
To receive a Daily Agenda, follow these steps:
  1. In the calendar list on the left, click the down-arrow button next to the appropriate calendar, then select Notifications.
  2. Select the Email check box next to Daily agenda in the section entitled Choose how you would like to be notified.
Click Save.

Great Idea!

The above URL is to the blog of O-M-Giffin. She has posted a great idea of "Guess Who Game with Self-Portraits". She used Kidpix and a SMART board. I can show you how to do this using your Mimio Studio tools. She added that it did take some time but was well worth it.

1. While still logged into Gmail, >More >Blogger
2. Go through steps to create your blog.
Notes- Check your settings. Do you want people to be able to comment or no?
You can view your blog to see what your post looks like before you publish.
You can only edit your blog when you are signed in.
3. This is where you can store screen recordings or ANYTHING you want to share with parents, staff or students.
4. To choose videos that you have created and embed in your blog >New Post >Name the post (maybe choose a standard, concept or lesson name) >Click in the body of the post >Click the film icon >My Youtube Videos >Highlight then click select. It will embed it right into your Blog. You can then give students and parents your blog address and they can see the lessons you have created with the Mimio Teach

5. You can post anything here; messages, images, notes from class, anything. You can also upload original documents here to. You do have to upload those to a place like Scribd to convert then upload.
